We start at the date bags must be on site and work back through receiving, freight, inspection, production, sampling and artwork. Every sign-off gets a dated deadline, published before the deposit.

Custom Event Bags: How a Fixed Delivery Date Is Protected

Four mechanisms carry a fixed-date order. None of them is heroics at the end; each removes a specific way the last three weeks go wrong.

In-network fabric only, unless you accept the delay

Speciality materials may need additional sourcing time; availability is confirmed before sampling.

Open-mould hardware, no tooling wait

A custom-moulded puller or badge adds 10–15 days for tooling. On an event schedule that time usually has to come out of production, so standard hardware and a printed or embroidered mark are the safer build.

Artwork deadline stated as a date

Print artwork in AI or PDF, or 300 DPI PNG, with Pantone references, due on a published date. Screens are cut against it; artwork arriving after that date moves the ship date, and we say so in advance rather than absorbing it silently.

Six ways a fixed-date bag order fails, and the control that removes each. Four of them are decided before the deposit is paid.
The date arrives before the cartons do
Cause: a schedule counted forwards from the purchase order. Control: the plan is published backwards from event day with a dated deadline for every sign-off, and air freight at 5–10 days is priced at quote stage as a declared fallback.
Final artwork lands three weeks late
Cause: no artwork deadline, only a request. Control: the artwork date is published with the schedule and screens are cut against it. If it slips we restate the ship date immediately rather than absorbing it quietly.
Sponsor logos are mixed up in the cartons
Cause: a multi-logo run packed as one batch. Control: each logo group is run, inspected and cartoned separately with its own carton mark, and the marks are verified at packing inspection.
The printed colour does not match the brand
Cause: ink mixed by eye from a screen file. Control: inks matched to a physical Pantone chip and confirmed on the 5–7 day sample before screens are cut for bulk. See graphics & printing.
Quantity is increased four weeks before the event
Cause: registration numbers moving. Repeat-order timing is confirmed against the approved sample, any specification changes and current material and production availability.
