Bag Packing Specification: Polybag, Inner Pack, Master Carton and Pallet

Eight packing layers, each written into the packing spec that is signed with the golden sample. Nothing on this list is decided on the packing bay; it is all fixed before the first bag is sewn.

Polybag per Bag

LDPE 0.04–0.06 mm, cut to the folded bag size with a 2–4 cm overlap and a suffocation warning where the destination requires one. Self-adhesive seal, or heat seal for wet bags that ship damp-proof.

Hangtag, Care and Barcode

Hangtag on the main puller or handle, care label sewn in the side seam, and a barcode or FNSKU label placed to a written position in cm. Label position is checked on every bag at packing inspection.

Tissue, Stuffing and Shape

Head paper or an air pillow in duffels and weekenders so the bag arrives with its shape; 1–2 sheets of tissue for work-gym totes and PU-look fabrics that mark. Stuffing weight is counted in the CBM calculation.

Inner Pack

Bags grouped 5, 6, 10 or 12 per inner carton or per bundle by colour and size, so a warehouse can split a carton without opening every polybag. Inner pack counts are printed on the side mark.

Master Carton

5-layer corrugated board, 3-layer for light pouches, bursting strength quoted on the carton spec. Standard export cartons run 50–60 × 40–45 × 40–50 cm; carton size is chosen to fit the bag, not the other way round.

Shipping Marks on Two Faces

Buyer name or code, PO number, style, colour, size, quantity, carton number of total, net and gross weight, dimensions and country of origin, printed or stencilled on two adjacent faces. Side marks carry the inner-pack breakdown.

Sealing, Strapping and Pallets

Tape sealed in an H pattern, two PP straps per carton over 15 kg. Palletised on request: 1.1 × 1.1 m or 1.2 × 1.0 m, stretch-wrapped, stack height held under 1.8 m so cartons at the base do not crush.

Photography and Loading Photos

Free white-background product photography on production orders, plus carton, pallet and container loading photos before the door closes. Photos are filed under the project code and sent with the final inspection report.

Export Support for a Bag Factory Order: Booking, Documents and Loading

Seven steps between the last sewn bag and the container leaving the port. The dates are set by your project manager in the weekly report so nothing waits for an email; see project communication.

Shipment plan agreed

Send the current requirements for your marketplace and destination, including barcodes, bagging, warnings, carton size and weight. We confirm the packing specification and its cost before production. FBA prep.

Packing materials in and checked

Cartons, polybags, hangtags and labels arrive and are checked against the spec: board layers, print, barcode legibility and label size. Printed retail boxes are ordered 7–10 days earlier and land in this window.

Booking with the forwarder

Space booked against the shipment plan, with the cut-off date working back from the sailing. Guangzhou (Nansha) and Shenzhen (Yantian, Shekou) are both about 1–2 hours by truck from the Huadu factory.
Day −3

Packing and packing inspection

Bags are polybagged, tagged, inner-packed and cartoned. Every carton is weighed and measured, marks are checked on two faces and counts are verified against the packing list at packing inspection.

Documents drafted

Commercial invoice, packing list with carton-by-carton weights and dimensions, and the bill of lading draft. Certificate of origin, and a Form E or Form A where the destination has an agreement, are applied for on request.
Day −1

Inspection, Payment and Shipment Release

The balance is paid after you receive the final inspection report and before the goods leave the factory. Any buyer-commissioned third-party inspection is scheduled before this point.

Trucking, loading and photos

Cartons are trucked to the port or the forwarder’s warehouse, loaded, and photographed with the container number visible before the door closes. Photos and the final document set go to you the same day.

Bag Packing and Shipping Problems and How the Factory Prevents Them

Six failures that turn up between the packing bay and the receiving warehouse, and the control that removes each one.
Cartons rejected at the fulfilment centre
Send the current requirements for your marketplace and destination, including barcodes, bagging, warnings, carton size and weight. We confirm the packing specification and its cost before production. packing inspection.
Freight cost far above the estimate
Cause: CBM guessed from the bag size, not from a real carton. Control: the CBM table above is built from measured export cartons, and the quote states pcs per carton, carton dimensions and CBM before booking.
Barcodes will not scan on arrival
Cause: labels printed small or placed over a seam. Control: label size, print resolution and position in cm are written into the packing spec and every unit is scan-checked; see packaging and FBA prep.
Carton count does not match the packing list
Cause: counting at the end, in a rush. Control: counts verified carton by carton against the packing list, cartons numbered as X of Y on the mark, and loading photographed with the container number visible.
Bags arrive creased and out of shape
Cause: no stuffing and cartons stacked too high. Control: head paper or air pillows in duffels and weekenders, two PP straps on cartons over 15 kg, and pallet stack height held under 1.8 m.
Goods held at customs over paperwork
Cause: invoice and packing list drafted after the container sailed. Control: documents drafted on Day −2 and checked against the shipment plan; certificate of origin applied for 2–4 days ahead on request.

It depends on carton volume: roughly 4,500–5,500 gym duffels or 30,000–40,000 running waist packs in a 20 ft, since a 20 ft holds about 26–28 CBM and a 40 ft HQ about 66–68. The CBM table above gives pcs per carton and CBM per carton for eight common bag types.
Sea freight typically runs 25–45 days port to port depending on the lane, and air 5–10 days door to door. We confirm the production schedule after reviewing the specification, material availability and target quantity. Allow separate time for sample approval and freight. production process.
