Third Party Inspection in China: How to Book SGS, BV or TUV at Our Factory

Stage 6 of six, and the only one we do not run ourselves. Venlinker holds no third-party certificates, so independent inspection is how a buyer gets evidence that does not come from us. SGS, BV, TUV, QIMA or an inspector you appoint are welcome on any order from 300 pcs, commissioned and paid by you, with floor access Mon–Sat. Book 3–5 working days ahead for a date when the goods are 100% produced and packed, and we stage the lot, hand over the golden sample and the packing list, and let the inspector pull their own cartons.

How to book

How to Book SGS, BV or TUV Inspection at a Bag Factory

Six steps, most of which are on your side rather than ours. The whole arrangement usually takes a week from your first email to a report in your inbox.

SGS, BV, TUV, QIMA or a smaller firm you already use. We place no restriction on the choice, take no commission and do not need to see the report before you do. Buyers with an agent in Guangzhou often use them instead, which works the same way.

Pre-shipment inspection is the usual one. During-production inspection at 20–40% completion, container loading supervision and a factory audit are the other three; the table below sets out when each is booked.

Tell Your Project Manager the Date

Give the firm, the date and the scope to the project manager who runs your order. They confirm against the packing schedule that the goods will be 100% finished and packed on that day, and hold the slot; see project communication.

Agree the sampling standard, inspection level, defect classes and acceptance criteria before production. AQL sampling is separate from our 100% pre-shipment inspection; the plan must match the order and the buyer’s requirements.

Existing showroom samples are free, with courier paid by the buyer. Custom prototypes take 5–7 working days after the specification is confirmed. We quote the prototype fee, courier charge and any sample-fee credit before work starts. golden sample.

Book 3–5 Working Days Ahead

Inspection bodies usually need 3–5 working days’ notice, and so does the packing schedule. A same-week booking is sometimes possible; a same-day one means inspecting goods that are not finished, which is worth nothing.

Third Party Inspection Timeline: From Booking to Report

A typical pre-shipment inspection on a 1,000 pcs order. The dates below work backwards from the sailing date your project manager already holds in the shipment plan.

You appoint the inspection body and send them the purchase order, the approved sample photos, the packing spec and the sampling plan. You copy your project manager so the date is held against the packing schedule.

Factory confirms readiness

We confirm in writing that the goods will be 100% produced and packed on the inspection date. If production is behind, we say so now and move the date rather than presenting a part-finished lot.

Our own inspection completed

The 100% check and the AQL sample under final inspection are finished, and any rework is done, so the goods the inspector sees are the goods that would have shipped.

Goods staged and documents pulled

The lot is moved to one clearly marked area with cartons accessible from all sides, and the golden sample, tech pack, packing list, bill of materials, incoming records and patrol sheets are laid out in the meeting room.

Inspection on site

The inspector selects cartons across the lot, pulls their own sample, measures, tests and classifies. A pre-shipment inspection on 1,000 pcs typically takes one inspector 6–8 hours; loading supervision adds a second visit.

Preliminary result on the day

Most bodies give a verbal or emailed preliminary result before the inspector leaves the factory. Our project manager is present for the closing discussion and can start rework the same afternoon if there is a finding.

What Happens When a Third Party Inspection Fails: Rework, Re-Inspection, Cost

A failed inspection is not a dispute here, it is a work list. Six things happen, in this order, and none of them involves asking you to accept the goods anyway.

The finding is traced back through the inline patrol sheets and the incoming material records to a station, an operator, a material lot or a packing method. Our QC lead does this on the day of the inspection, not the following week.

Third Party Inspection Questions Buyers Ask Bag Factories

Six questions that come up before a first order, with the answer we give even where it is not the comfortable one.
“Do you have certificates instead?”
Answer: no. We hold no third-party quality, social or environmental certificate and we do not claim one anywhere on this site. Independent inspection and a factory audit you commission are the routes to evidence; the full position is on compliance documents.
“Will you pay for the inspection if you are confident?”
Answer: no, and it is not about cost. An inspection commissioned and paid for by the factory is not independent of the factory, and any experienced buyer would discount the report on sight. We give the inspector everything except the invoice.
“Can you tell the inspector which cartons to open?”
Answer: no. Random selection across the lot is the entire mechanism of an AQL check. We provide the carton map so the inspector can select across all of it, and we leave the pallets unwrapped until they have finished.
“What if the inspector is booked for the wrong day?”
Answer: we tell you before the visit, not on the day. Your project manager confirms 5 days out that the goods will be 100% produced and packed; if production is behind we move the date, because inspecting a part-finished lot wastes your fee.
“Can I inspect without flying to China?”
Answer: yes, three ways. Commission a firm in Guangzhou, send a local agent, or run a live video inspection and audit with the camera wherever you point it. Our 100% inspection report with photos comes as standard on every order regardless.
“Do you refuse buyers who inspect?”
Answer: the opposite. Inspections and audits are welcome on every order from 300 pcs and on any prospective order, Mon–Sat, and repeat audits before each season are normal rather than a sign of mistrust. Book through contact.
