Free Existing Sample vs Paid Prototype, Courier and Revisions

Custom sample fees and any credit against a production order are confirmed in writing before you approve the sample work. Ask us to include these terms in your quotation.

Existing-model sample: free

A bag from the showroom or a recent run, closest to your target type, fabric and construction. 1–2 bags, no charge, ships in 1–2 working days. Use it to check stitch density, zipper feel, base stiffness and fabric hand before spending on development. Request via free sample.

Custom prototype: refunded

One production-grade bag to your spec: your structure, fabric, colourway, logo method and hardware. The fee ($30–150 depending on size and complexity) is deducted from the invoice of your 300 pcs production order. Build time 5–7 working days; process in sample development.

DHL or FedEx from Guangzhou, 3–7 days depending on destination. A 3-piece set or two prototypes sits at the upper end. We send photos and a 1–2 min video first so the parcel confirms rather than surprises.

Changes to pocket position, strap length, logo size or hardware after the first prototype are made once at no charge, usually 3–5 working days. A second round caused by a new spec (new fabric, new pattern) is quoted as a new sample. The approved bag becomes the golden sample.

From Brief to Courier Delivery

Seven steps between a confirmed brief and a prototype in your hands. Working days; the 5–7 day build assumes an in-network fabric and stock hardware.
Day 0

Brief confirmed

Quote accepted and the 12 RFQ fields locked: dimensions in cm, fabric, Pantone codes, logo file and method, hardware. Sample fee invoiced. A complete RFQ is what keeps day 0 to one day.
Day 1

Pattern

ODM: an existing pattern from 100+ monthly models is adjusted in 1 day. OEM: a new pattern from your tech pack takes 2–3 days, which is why an OEM sample runs 7–10 days instead of 5–7.
Day 1–2

Materials pulled

In-network fabric, lining, zippers and webbing pulled from stock or the supplier next door: 0–1 day. Out-of-network or custom-dyed fabric: +7–14 days, which we flag on the quote. See material sourcing.
Day 2–3

Logo prepared

Embroidery digitised (0.5–1 day), screens exposed or transfer film printed (1 day). Moulded patches and badges need 7–15 days for the mould, so the first sample carries a stock patch and the moulded one follows. See the logo method guide.
Day 3–6

Cut and sew

Our Guangzhou team coordinates design, cutting, sewing, printing and packing. Specialist logo or sealed-compartment requirements are reviewed during sampling, with the process and inspection criteria confirmed for your bag.
Day 6–7

Photos and video

White-background photos and a short video of zips, pockets and base sent the same day. Many buyers approve or request the revision from this set, which saves the 3–7 courier days on round one.
Day 7–14

Courier and approval

Parcel by DHL or FedEx, 3–7 days. On approval the bag is signed as the golden sample; the 30% deposit starts bulk fabric buying. On a revision, 3–5 days and a new photo set.

How Long Does a Bag Sample Take: 6 Delays and How the Factory Prevents Them

The six reasons a 5–7 day sample becomes a 3-week sample, with the control we apply to each.
Sample stalls waiting for fabric
Cause: fabric chosen from a photo, not from stock. Control: quote states in-network (0 days) or out-of-network (+7–14); prototype built on the nearest stocked fabric with swatches of the target fabric enclosed. See the material guide.
Three revision rounds
Cause: dimensions never fixed in cm. Control: a dimensioned drawing signed at day 0 (tech pack guide); the first prototype is checked to ±1 cm before photos go out.
Logo mould delays the whole sample
Cause: moulded patch specified on round one. Control: round one carries embroidery or a woven label; the 7–15 day mould runs in parallel and is fitted on the golden sample. See logo and branding.
Courier takes 10 days
Cause: economy service or customs paperwork. Control: DHL or FedEx with commercial invoice marked as sample, 3–7 days; photos and video the day the bag is finished so approval can start before the parcel lands.
Approved sample differs from bulk
Cause: bulk fabric bought from a different mill. Control: supplier named on the golden sample record; every roll checked at incoming inspection for denier, GSM and colour against the retained swatch.
Sample fee charged twice
Custom sample fees and any credit against a production order are confirmed in writing before you approve the sample work. Ask us to include these terms in your quotation.
