Bag RFQ Checklist: 12 Points to Include in a Custom Bag Quote Request

A request for quote for custom bags is answered within 24 hours when it carries 12 fields: bag type, quantity, dimensions in cm, fabric, colourways, logo method and file, hardware, packaging, target market, delivery date, incoterm and whether you need a sample. An RFQ missing two of them typically costs 2–3 email rounds and 3–5 days. This checklist is the one our quoting team works from; MOQ 300 pieces.

Bag RFQ Checklist: 12 Fields a Factory Needs to Quote a Custom Bag

Each field below states what to write and why the quote depends on it. Bag type, quantity, fabric and dimensions are the four without which no price can be given; the other eight decide the accuracy of the lead time and the packaging line.

Bag type and sub-type

Name the category and sub-type: a gym duffel, a yoga mat bag, a dry bag. A reference photo or a link to one of our 8 category pages fixes the pattern family and saves one round.

Quantity per style and colourway

Write pcs with colour quantities agreed in your quote, not a total. 600 pcs as 2 colourways is 2 × 300; 600 pcs in 1 colour is 1 × 600 and prices differently. MOQ is 300 pieces; see the MOQ guide.

Dimensions and capacity

L × W × H in cm and volume in litres. A 50 × 28 × 28 cm duffel is roughly 35–40 L; a 12 × 6 × 4 cm belt is 1–1.5 L. Bulk holds ±1 cm; the design page lists typical sizes by bag type.

Fabric and weight

Fabric choice, consumption, lining and finishing affect the unit price. Compare quotations against the same approved specification. material guide.

Pantone codes for body, lining and webbing, or a physical swatch. Each colourway is its own 300 pcs minimum and its own dye lot; lab dips take 5–7 days. See materials and colours.

Country and channel: Amazon US, EU retail, gym chain giveaway. The market decides label content, carton marks and which documents ship with the order; the channel decides whether free white-background photography is useful.

The date goods must leave the factory or arrive. We confirm the production schedule after reviewing the specification, material availability and target quantity. Allow separate time for sample approval and freight. A fixed date lets us flag which options must be dropped.

What Happens After You Send a Bag RFQ: The First 24 Hours at the Factory

A complete RFQ moves through five desks in one working day. Each step names who touches it and what comes back to you.
Hour 0

RFQ logged

Your request gets a project code. Files (photo, tech pack, logo) are stored under that code and not shared beyond the quoting team; an NDA is signed on request before any sampling starts.
Hour 0–2

Field check

A merchandiser checks the 12 fields. Anything missing is asked in one email with 2–5 numbered questions, not a series. If quantity, fabric and dimensions are present, costing starts in parallel.
Hour 2–8

Pattern and fabric match

One of 10+ in-house designers matches the request to an existing pattern from our 100+ monthly models (ODM) or flags a new pattern (OEM, sample 7–10 days). Sourcing confirms the fabric is in-network (0 days) or out-of-network (+7–14 days).
Hour 8–20

Costing

Fabric consumption in m per bag, sewing minutes by pocket and compartment count, hardware, logo tier and packaging are priced as separate lines. Order size sets the tier: 300–1,000, 1,000–5,000 or 5,000–20,000 pcs. Method in cost factors.
Hour 20–24

Quote sent

You receive a unit price range per colourway, MOQ, sample cost ($30–150, refunded on production), lead time by tier and the incoterm requested. Every option that adds days is marked so you can remove it.
Day 2–9

Sample on approval

Confirm the quote and the sample is cut: 5–7 working days for a prototype, 1–2 days to ship an existing model. Photos first, then the courier bag ($30–60). Steps in sample development.

Bag RFQ Checklist by Bag Type: Extra Fields for Duffels, Mat Bags, Dry Bags and Sets

Some bag types need one or two fields beyond the 12. The extra field is the one that most often triggers a second question, so add it to the first email.

Gym duffels and backpacks

Add shoe compartment length (32–36 cm for EU 42), wet pocket lining (TPU or PEVA) and laptop sleeve size (13–16 in). These decide 2–6 extra sewing minutes per bag. See shoe-compartment gym bags and gym backpacks.

Yoga mat bags and totes

Add the mat size the bag must hold: 61 × 173 cm standard or 66 × 183 cm long, and rolled diameter 12–15 cm. Bag length then runs 65–72 cm. See yoga mat bags and mat sling bags.

Running belts and waist packs

Add waist range in cm (typically 60–120 cm), phone size (up to 17 cm), and whether bottle holsters (250–500 ml) are needed. Fabric is 210D–420D nylon. See running belts and hydration waist packs.

Dry bags and wet bags

Add construction: welded TPU (in-house high-frequency welding) or sewn with taped seams, roll-top turns (3), and volume 5–30 L. Welded bags need TPU 0.3–0.5 mm. See dry bags and wet bags.

Add the equipment: ball count and size (size 5 football, 22 cm), racket count (2–6), helmet dimensions. Team duffels run 60–90 L in 900D–1680D. See ball bags and racket bags.

Common problems

Custom Bag Quote Request Mistakes That Delay Your Quote by Days

Six patterns that turn a 24-hour quote into a week, and the control that removes each one before you press send.
Total quantity with no split by colourway
Cause: MOQ read as per style only. Control: write pcs × colourways; 900 pcs can be 3 × 300 (3 dye lots) or 1 × 900 (1 dye lot) and the price differs. See the MOQ guide.
Fabric described by adjective
Cause: no denier or GSM. Control: name a fabric from the material guide or ask for a swatch set with the sample; the fabric line is 35–50% of the price.
Logo sent as a screenshot
Cause: no vector file on hand. Control: AI, PDF or 300 DPI PNG at actual size; if only a JPG exists, say so and we redraw for embroidery at no charge within the 5–7 day sample window. See the logo method guide.
Quote compared without an incoterm
Cause: one factory quotes FOB, another EXW. Control: ask every factory for FOB Guangzhou plus a DDP line to your address; shipping terms explains what each includes.
Date given as ASAP
Cause: no launch date fixed. Control: give an in-hand week; we work back through 25–50 days bulk, 5–7 days sample and transit and tell you which options (custom mould +10–15 days) must go.
Sample requested after the quote
Cause: sample seen as a later step. Control: tick the sample field in the RFQ; an existing-model sample ships free in 1–2 days while the quote is being prepared. See free sample.
