What happens

Final Bag Inspection Before Packing

The approved sample and written specification give both sides a reference. These are the checks to agree before the finished bags reach inspection.

Compare the finished bag

Check the fabric, lining, colour, pockets, logo, hardware and overall finish against the approved sample. Record any change agreed after sampling.

Confirm the sampling plan

For an AQL inspection, confirm the lot definition, standard, inspection level and acceptance criteria. Do not choose the sample size from quantity alone.

Measure the agreed points

List body dimensions, strap lengths, pocket openings and fitted compartments in the tech pack. Set a tolerance for each point and record the actual measurements.

Check function

Agree how to check zippers, buckles, adjusters, handles and compartments. Load, water-resistance or durability tests need a defined method and pass criteria.

Inspect workmanship

Review seams, reinforcement, thread ends, panel alignment, logo placement and cleanliness against the approved construction and defect list.

Record the result

Agree the report format, photographs, corrective-action process and shipment release requirements before the inspection date.
Sampling plan

What to Confirm in an AQL Sampling Plan

AQL sampling and 100% inspection serve different purposes. AQL is not a guarantee that a stated percentage of a shipment will be defective. The written plan determines how the sample is assessed.
Plan item
Lot definition
What to confirm
Styles, colours, quantities and shipment grouping
Why it matters
The lot must be defined before selecting the sample.
Plan item
Sampling standard
What to confirm
The named standard and applicable edition
Why it matters
Factory and inspector must work from the same reference.
Plan item
Inspection level
What to confirm
The agreed inspection level and inspection severity
Why it matters
These affect the plan and cannot be inferred from an AQL value alone.
Plan item
Sample size
What to confirm
The size required by the complete agreed plan
Why it matters
Document how the sample will be selected across the lot.
Plan item
Defect classes
What to confirm
Critical, major and minor examples for this bag
Why it matters
A shared defect list prevents disputes over classification.
Plan item
Acceptance criteria
What to confirm
The applicable acceptance and rejection counts
Why it matters
Confirm the decision rule before the goods are inspected.
Plan item
Failure and reinspection
What to confirm
Corrective action, affected stock and reinspection arrangements
Why it matters
Set responsibilities and the shipment-release process in advance.

Defect classes

Critical, Major and Minor Defects in Bags

Use these examples to discuss your defect list. Final classification depends on the product, intended use, destination requirements and the criteria agreed for the order.
Class
Critical
What it means
A safety or compliance issue
Examples to discuss
A sharp exposed component or a broken needle found in the product
Decision rule
Agree the safety controls and escalation procedure before production.
Class
Major
What it means
A defect that affects function or makes the bag unacceptable for its agreed use
Examples to discuss
A zipper that will not close, an open seam, a missing compartment or the wrong logo
Decision rule
Apply the acceptance criteria in the approved plan.
Class
Minor
What it means
A finish issue that does not affect the intended use
Examples to discuss
A loose thread or small cosmetic variation outside the approved appearance standard
Decision rule
Apply the acceptance criteria in the approved plan.
Class
Within specification
What it means
Variation allowed by the approved specification
Examples to discuss
A measured dimension or logo position within its written tolerance
Decision rule
Record the check against the specification.
Tolerances

Agree Bag Measurement Tolerances Before Production

Different bag constructions need different measurement points. Put the agreed values and measuring method in the tech pack; do not rely on a general tolerance copied from another style.
Check
Body dimensions
Reference
Approved dimensions and sample
What to write down
Where each measurement starts and ends, the bag condition and permitted variation.
Check
Straps and handles
Reference
Approved carry arrangement
What to write down
Length, adjustment range, drop and attachment positions.
Check
Mat or laptop compartment
Reference
The item the compartment must carry
What to write down
Reference item dimensions, opening clearance and closure requirements.
Check
Logo position
Reference
Approved artwork placement
What to write down
Reference edge, position, size, orientation and permitted variation.

Inspection day

From Finished Bags to Inspection Report

The inspection date depends on order readiness, quantity and the agreed scope. Confirm the date with your inspector and our team before booking travel.

1. Confirm readiness

Check that the order is ready for the agreed inspection scope and that the lot quantities and packing status are clear.

2. Prepare the references

Provide the approved sample, tech pack, order quantities, artwork, defect list and packing specification.

3. Complete factory checks

Venlinker carries out 100% pre-shipment inspection. Any additional buyer-appointed inspection is arranged separately.

4. Select and inspect the sample

For AQL sampling, select and assess the sample according to the agreed plan. Record measurements and findings.

5. Review non-conformities

Identify the affected goods and agree corrective action and reinspection where needed. Keep changes and decisions in writing.

6. Confirm release

Share the agreed inspection information and confirm shipment release against the order terms.
Common problems

Avoiding Inspection Disputes on Custom Bag Orders

Most disagreements are easier to prevent in the order documents than to settle after the goods are packed.

No shared sample

Keep an approved reference and record later changes. Photos alone may not show the full construction or material feel.

Unclear defect classes

Discuss bag-specific examples and get the defect list agreed before production.

Different measuring methods

Define the reference points and bag condition for each measurement. Record the actual results, not only a pass mark.

Convenience sampling

The inspector should select the sample according to the agreed plan across the defined lot.

Tests added at the last minute

Agree special loading, water-resistance and durability tests during development so their cost and timing can be reviewed.

Unclear release process

Write down who reviews the report, how defects are addressed and who authorizes shipment.

Start with the requirements of your retailer, inspection company or quality team. The complete plan needs the standard, inspection level, defect classes and acceptance criteria, not just one number.
The buyer and factory agree the defect list before production. Include examples for the bag construction and any retailer or destination-specific requirements.
No single value should be assumed for every construction. Put the measurement points, method and agreed tolerances in the tech pack and review them on the sample.
Review the findings, identify affected goods and agree corrective action and any reinspection. The order documents should state the release process and responsibilities.
