Packing Inspection Checklist for Bags: Unit, Inner Pack and Carton

Eight check points, run on the packing bay while the goods are being packed rather than after the cartons are sealed. Every one has a written pass criterion; none of them is a visual impression.

Polybag Check

Correct size for the folded bag with a 2–4 cm overlap, LDPE 0.04–0.06 mm, sealed and not split, suffocation warning printed where the destination requires it. Wet-gear items such as wet bags are heat-sealed rather than self-adhesive.

Hangtag and Care Label

Hangtag on the position written in the packing spec, string or pin as specified, correct price or style code, and the care label sewn in the side seam and legible. A tag on the wrong puller is a minor defect; a wrong style code is major.

Barcode and FNSKU Scan

Every unit label is scanned with a reader, not eyeballed. The scan must return the expected code first time; a label that needs two attempts is replaced. On FBA orders a scan failure is classified as critical.

Send Your Packing Manual Before the Cartons Are Ordered

Warehouse manuals, marketplace requirements and retailer carton specs are written into the packing plan at the shipment-plan stage, 14 days before packing. Changing a carton after it is printed costs 7–10 days.

Drop Test for Cartons: Heights, Faces and What a Pass Looks Like

One or two packed cartons per shipment are drop tested before the rest are sealed and palletised, because a packing method that fails here would have failed somewhere between the port and the warehouse instead.

One carton on a shipment under 200 cartons, two above it, drawn from the packed goods rather than made up for the test. Run before the pallets are wrapped so a failure can still change the packing method for the whole lot.

The 10-Drop Sequence

One drop on the most vulnerable bottom corner, three on the edges radiating from that corner, then all six faces: ten free-fall drops onto a hard flat surface, in that order, on the same carton.

What Counts as a Pass

The carton stays closed with the tape and straps intact, no split at a seam or corner, no contents pushed through a wall. Inside, no bag is creased through a fold, no hardware is bent and no polybag is torn.

What Counts as a Fail

A burst seam, a corner opened, a strap that slipped, or any damage to the goods inside. A fail is a packing-method failure rather than a bag failure: the fix is board grade, carton size, stuffing or strapping.

Board grade is raised from 3-layer to 5-layer, the carton is downsized so contents cannot move, stuffing is added, or a second strap goes on. The test is repeated on the revised carton before the shipment continues; see packing and export support.

Packing Inspection Workflow: From the First Carton to the Container Photos

Seven steps on the packing bay, running alongside packing rather than after it. We confirm the production schedule after reviewing the specification, material availability and target quantity. Allow separate time for sample approval and freight. production window.
Step 1

Packing materials checked in

Cartons, polybags, hangtags and label rolls are checked against the spec before packing starts: board layers, carton dimensions, print quality, label size and barcode legibility on a test scan.
Step 2

First carton packed and approved

One carton is packed exactly to spec and approved by the packing inspector as the reference for the shipment: unit count, polybag, tag, label position, marks and weight. Packing does not scale up until it passes.
Step 3

Unit-level checks during packing

Polybag, hangtag and label are checked on every unit and every barcode is scanned as it goes into the bag. A label that fails a first scan is replaced on the spot and rescanned.
Step 4

Carton-level checks at sealing

Contents counted against the packing list, style, colour and size mix confirmed, carton weighed and measured, marks checked on two faces, then sealed in an H pattern and strapped where it is over 15 kg.
Step 5

Drop test on a packed carton

One or two cartons taken from the packed goods and put through the 10-drop sequence at 46–76 cm by weight. A failure changes the packing method for the whole lot before the pallets are built.
Step 6

Count verification and packing list

Total cartons counted against the packing list, cartons numbered X of Y, weights transcribed and the CBM recalculated from measured cartons so the document matches the goods rather than the plan.
Step 7

Photo report before loading

Packed units, sealed cartons, marks, the pallet build and the container interior with the container number visible, all photographed and sent with the final inspection report before the door closes.

Bag Packing Inspection Problems and How the Bay Prevents Them

Six failures that are invisible at final inspection and expensive at the receiving warehouse, and the control that removes each one.
A whole shipment refused for over-weight cartons

Units will not scan at the fulfilment centre
Cause: labels printed small, placed over a seam, or never tested. Control: every unit label is read with a barcode scanner on the bay and must return the correct code on the first attempt; a second-attempt label is replaced and rescanned.
Carton count short against the packing list
Cause: counted once, at the end. Control: contents counted at sealing, cartons numbered X of Y on the mark, and totals verified against the packing list before the documents are drafted.
Cartons arrive burst and bags creased
Cause: 3-layer board on a 20 kg carton with no stuffing. Control: a 10-drop test on a packed carton at 46–76 cm before pallets are built; a fail raises board grade, adds stuffing or downsizes the carton for the whole lot.
Wrong size mix inside the carton
Cause: mixed packing with no carton content check. Control: the style, colour and size mix is confirmed against the carton mark at sealing, and inner packs are grouped by size so a warehouse can split without opening every bag.
No evidence of how the goods left the factory
Cause: nobody photographed the loading. Control: packed units, sealed cartons, marks, pallets and the loaded container with its number visible are all photographed and sent before the door closes; see packing and export support.
