Bag Factory vs Trading Company: How to Verify a Direct Bag Factory

A direct bag factory and a trading company can both quote the same 40 L duffel, and both can be reliable suppliers; the difference is where the price layer, the lead time and the QC signature sit. This guide gives 10 verification checks a buyer can run in 5–10 working days by email, video and a Mon–Sat visit, a 5-column comparison table, and what Venlinker shows for each check on its 5,000 m² floor with 10+ production lines.

Bag Factory vs Trading Company: Price Layer, Lead Time, QC, MOQ and Communication

Both models have a place in bag sourcing. A trading company can bundle categories from several factories; a direct factory controls the line. The table states where each one differs on the five points a procurement team compares first.
Comparison point
Price layer
Direct bag factory
Compare costs in your quotation cost factors.
Trading company
Factory price plus a service margin for sourcing, consolidation and follow-up
What to check
Ask for an itemised quote; a factory can split it by line within 24 hours
Comparison point
Lead time
Direct bag factory
Schedule confirmed in the quotation
Trading company
Depends on the partner factory schedule; each hand-off adds 1–3 days of relay
What to check
Ask who sets the line allocation and compare quoted lead time across 2–3 RFQs
Comparison point
QC control
Direct bag factory
Inline inspection by factory QC staff, 100% pre-shipment inspection signed by a named inspector
Trading company
Final inspection often outsourced or carried out at pick-up; inline checks depend on the partner factory
What to check
Ask who signs the inspection report and whether a third party (SGS, BV, TUV) can be commissioned at the plant
Comparison point
MOQ
Direct bag factory
Set by the line: 300 pieces, tied to fabric roll and cutting set-up; see the MOQ guide
Trading company
Can be lower by pooling buyers, or higher by adding a service minimum
What to check
Ask why the MOQ is what it is; a factory answer names roll length, cutting or dye minimums
Comparison point
Communication
Direct bag factory
Direct with the project manager and the designer; photo updates at cutting, first output and packing
Trading company
One account manager relays between buyer and factory; useful for multi-category orders
What to check

How to Verify a Bag Manufacturer: 10 Checks for a Direct Bag Factory

Ten checks in the order a buyer can run them, from a licence scan on day 1 to a factory visit inside 10 working days. Each card says what to ask for and what a direct factory answer looks like.
1

Business licence scope

Ask for the business licence and read the scope line. A manufacturer lists production (bag and luggage manufacturing, sewing) in scope; a trading company lists import and export or wholesale. The registered address on the licence should be the address in check 2. Related documents are listed under compliance documents.
Ask for: licence scan · 1 day
2

Factory address vs office address

Compare the licence address, the quoted shipping origin and the address on the website. A factory sits in an industrial district (Huadu, for a Guangzhou bag plant) with a floor area in m², not only a floor number in an office tower. Ask for the map pin and a photo of the gate with the company name.
Ask for: map pin + gate photo
3

Live video of the production lines

A recorded video can come from anywhere. Ask for a live call walking from cutting to sewing to packing, with your bag type or a similar one on the line. A direct factory can hold it within 1–3 working days; ask the guide to stop at the fabric racks and the inspection table. See manufacturing capabilities.
Ask for: live call, 20–30 min
4

Sample made on-site

Ask for photos or a short video of your sample being cut and sewn in the sample room, with the date visible. A factory sample takes 5–7 working days and the maker can answer construction questions the same day; see sample development.
Ask for: in-process photos, day 2–5
5

Factory visit Mon–Sat

A working factory receives visitors on any production day, not only by appointment weeks ahead. Ask for a date inside the next 10 working days and a pickup from the airport or station. Walk the line, count the machines yourself and open a fabric roll. Venlinker is 40 min from Baiyun airport (CAN) and 20 min from Guangzhou North station.
Ask for: date within 10 working days
6

Who signs the QC report

Ask for a blank copy of the inspection report and the name and role of the person who signs it. A factory names its own QC staff, uses an AQL sampling plan and can add a third-party report from SGS, BV or TUV, commissioned and paid by the buyer, at the same address.
Ask for: report template + signatory
7

Lead-time consistency

We confirm the production schedule after reviewing the specification, material availability and target quantity. Allow separate time for sample approval and freight. Answers that do not change with quantity, or change by weeks between emails, suggest the schedule is set elsewhere. See the production process. production process.
Ask for: 3 quantities, 1 email
8

Fabric roll stock

Ask what fabrics are on the rack today and in what denier and colours. A factory answers with roll counts and supplier codes (600D, 900D, 1680D polyester, 420D nylon, mesh) and can send swatches with the sample. The sourcing page lists the network of 200+ suppliers.
Ask for: rack photo + swatch pack
9

Worker count and floor area

Ask for headcount, floor area and line count together: they should be consistent. A 5,000 m² plant with 10+ lines and 500+ staff outputs about 5,000 bags per line per month. A headcount that does not match the claimed monthly output is a sign the bags are made elsewhere.
Ask for: staff, m², lines, bags/month
10

MOQ logic

Ask why the MOQ is the number it is. A factory ties it to a physical minimum: one fabric roll, one cutting lay, one dye lot, one line-day. 300 pieces is the point where those minimums are covered; the MOQ guide explains it. An MOQ that changes freely between emails usually reflects pooling across buyers.
Ask for: the physical reason

Bag Factory Verification Process: From First Email to Factory Visit in 10 Working Days

The 10 checks fit inside the sample window, so verification costs no extra lead time. A typical sequence with a direct factory looks like this.
Day 0

RFQ sent

Send the 12 fields from the RFQ checklist and ask for the licence scan, address and lead time at three quantities in the same email. Checks 1, 2 and 7 are answered within 24 hours with the quote.
Day 1–3

Live video call

A 20–30 min walk from cutting to packing covers checks 3, 8 and 9: lines, fabric racks, headcount. Ask the guide to show a bag similar to yours on the line and the inspection table with the report template (check 6).
Day 2–7

Sample in progress

In-process photos of your sample at cutting, sewing and finishing cover check 4. The sample room answers construction questions the same day; sample development explains the 5–7 day sequence.
Day 5–10

Factory visit (optional)

Visit Mon–Sat with pickup from Baiyun airport (40 min). Walk the 10+ lines, open fabric rolls, meet the QC inspector who will sign your report and confirm the MOQ logic (checks 5, 6, 10).

Common problems

Bag Supplier Verification Mistakes and How to Avoid Them

Six errors buyers make when checking a bag supplier, and the control that fixes each one without adding to the 5–7 day sample window.
Relying on a recorded factory video
Cause: the video may show another plant. Control: a live call with your bag type on the line and a request to pan to the gate, the fabric racks and the inspection table; 1–3 working days to arrange.
Reading floor area as proof of output
Cause: m² without lines or staff. Control: ask for floor area, line count and headcount together and check the arithmetic: 10+ lines at about 5,000 bags per line per month should match a 50,000+ monthly figure.
Accepting a quote without an itemised split
Cause: a single unit price hides layers. Control: ask for fabric, hardware, labour, logo and packaging as separate lines; the split in cost factors is what a factory can produce within 24 hours.
Skipping the QC signatory question
Cause: inspection assumed. Control: ask for the blank inspection report and the name and role of the signer before deposit; confirm SGS, BV or TUV can be commissioned at the same address; see third-party inspection support.
Visiting only the showroom
Cause: a 30-min showroom tour. Control: ask to walk cutting, sewing and packing and to open a fabric roll; on a Mon–Sat visit at Venlinker the route covers all 10+ lines and the sample room.
Treating a low MOQ as a factory signal
Cause: MOQ pooled across buyers. Control: ask for the physical reason behind the number; 300 pieces maps to one fabric roll and one cutting lay, as explained in the MOQ guide.

Not always. A trading company adds a service margin but may pool buyers to reach a lower MOQ or consolidate categories one factory does not make. For a single bag category at 300 pcs and above, a direct factory quote usually carries one margin layer; compare itemised quotes using cost factors.
Yes, Mon–Sat on any working day, with pickup 40 min from Baiyun airport (CAN) or 20 min from Guangzhou North station. Book a date within the next 10 working days through the contact page; a live video tour is available within 1–3 working days as an alternative.
