The project manager is not a message relay. They hold the six responsibilities below for your order, and they are the same person on the last email as on the first.

The Quote and the Cost Logic

Any change after sign-off is written up with its cost and day effect before it is made, so a decision is never taken on your behalf. A change before cutting is usually days; after cutting it is panels and money.

Seven contact points across a typical 300–1,000 pcs first order. Each one has a fixed owner, a fixed output and a fixed window, so you always know what the next message will contain.

Your enquiry is answered within 24 hours by the project manager who will keep the order. They confirm bag type, quantity, target date and what is still missing from the brief before quoting.

An NDA is signed before your tech pack, artwork or design files are opened. Files are stored under a project code, not a buyer name, and are never shown to another buyer or used in our own model releases.

Bag Factory NDA, Revisions and Change Orders: How Changes Are Handled

Two things break trust with a factory faster than a late shipment: a design that shows up on someone else’s listing, and a change that was made without being priced. Six rules cover both.

NDA Before the Tech Pack

A mutual NDA is signed on request before any design file is opened, and by default before a full tech pack is reviewed. It covers drawings, patterns, artwork, moulds and the golden sample for the life of the program.

Written Change Orders After Sign-Off

Once the golden sample is sealed the tech pack is frozen. Any change is written up with its cost and its day effect and only actioned on your written approval, so no change is invented on the floor.

Change Windows Are Explicit

Before material purchase: most changes cost days only. Before cutting (around day 11–14): fabric and hardware changes are still possible. After cutting: panels are already committed. Packaging can change up to the packing stage.

If your project manager cannot resolve something the same working day, it goes to the production manager and, on quality, to the QC lead. You are told who is handling it and when the answer is due rather than being left with silence.

Bag Factory Communication Problems and How the Process Prevents Them

Six complaints buyers bring from previous suppliers, and the working method that removes each one.
Four different people, four different answers
Cause: enquiries routed to whoever is free. Control: one named project manager owns the order from quote to loading photos, with the designer and QC lead copied on technical questions rather than replacing them.
No news for three weeks after the deposit
Cause: updates only on request. Control: a weekly report with photos from your line on the same weekday, plus a live video walk of the line on request booked 1–2 days ahead.
Emails answered at 3 a.m. or not at all
Cause: no service level. Control: a written 24-hour reply standard Mon–Sat, calls scheduled inside the 4–5 hour European or 1–2 hour US East Coast overlap, and urgent production issues answered the same working day.
A change was made without being priced
Cause: verbal instructions on the floor. Control: the tech pack is frozen at the golden sample and every later change is a written change order with cost and days, actioned only after your approval.
Design copied and sold to someone else
Cause: files held loose. Control: NDA signed before the tech pack is opened; patterns, tapes, screens and moulds stored under a project code and never released into our own ODM range.
